HOW TO ATTEND THE AGM

The Ivors Academy AGM 2026 will take place in person at 15:00 Wednesday 16 September at the Courthouse Hotel, London, and virtually via Zoom.

You must register in advance by 16:00 on 15 September to attend in person or online.

Core and Professional members can join the AGM in-person at the Courthouse Hotel, London or online via Zoom. If you can’t attend, you can still have your say by appointing a proxy to vote on your behalf and submitting a question via email.

Discovery members can join us online via Zoom but cannot attend in person, vote or submit questions.

Questions

You’re welcome to ask a question in advance about the business of the meeting. Please email [email protected] by 16:00 on Tuesday 15 September. There will also be time for questions from members on the day. Only Professional and Core members can ask questions.

Voting

There are two ways to vote at the AGM.

1. If you can attend the AGM in person or attend the AGM online, you will vote through Election Runner’s online voting platform during the meeting.
2. If you are unable to attend, you can still vote by appointing another person – a proxy – to vote on your behalf. You can instruct the proxy how to vote or let them decide. If you don’t know anyone that is attending the AGM you can appoint the Chair.

Only Core and Professional Members are eligible to vote at the AGM. Non-members can attend the AGM but cannot vote. Professional to Core vote weighting is 10 to one.

How to appoint a proxy

Download, complete and return the proxy form by email to [email protected] or post it to Will Foreman, The Ivors Academy, 1 Upper James Street, London, W1F 9DE.

We recommended making a copy or taking a photo of the form to ensure the information is not lost.

Proxy forms must arrive by email or post 24 hours before the day before the meeting. Late or unsigned proxy notices, however delivered, cannot be accepted.

What can a proxy do?

If you are a member who is entitled to attend the AGM and vote, you can appoint a proxy to exercise your rights to attend, speak and vote at the meeting.

A proxy does not need to be a member of the Academy but must attend the meeting to represent you. You can only appoint a proxy using the procedures set out in these notes and the information given by Election Runner. If you wish your proxy to speak on your behalf at the meeting, you will need to appoint your own choice of proxy and give your instructions directly to them.

If you don’t know anyone attending the AGM, you can appoint the Chair as your proxy. Because the Chair runs the meeting they can only vote on your behalf. They cannot speak on your behalf.

Changing your proxy instructions

You can change proxy instructions by appointing a new proxy using by completing and sending a new proxy form. The cut-off time for receipt of proxy appointments also applies to amended instructions. Any amended proxy appointments received after the relevant cut-off time will be disregarded.

If you attempt to revoke your proxy appointment but the instruction is received after the deadline, your original proxy appointment will remain valid unless you attend the AGM and vote in person.

Appointing a proxy does not mean you cannot attend the AGM and vote in person. If you appoint a proxy and attend the AGM in person, your proxy appointment will automatically be cancelled.

Minutes from the 2025 AGM can be found in the AGM Pack in the ‘downloads’ section below. Members who attended the 2025 AGM will be asked to approve the minutes as an accurate record of the meeting, during the 2026 AGM.
